How to Turn Leasing Activity Into an Owner-Ready Report
A clear workflow for converting property-level leads, funnel activity, market context, and next actions into a professional report owners can use.
An owner report should connect activity to decisions. The most useful report shows what happened at the property, how the listing compares with its market context, where prospects stopped moving, and what the management team recommends next.
Build the report around one property and period
Start with a defined property, reporting window, current listing price, and responsible management team. Those basics prevent a polished PDF from becoming ambiguous. The owner should be able to see which activity belongs to the period and which numbers describe the current listing rather than a different unit or an earlier campaign.
AIgentProp brings the report editor and property workflow together so teams can review the underlying activity before sharing the finished report. Company details and reporting periods can be adjusted without rebuilding the report in a separate document.
Connect the funnel to an explanation
Activity totals do not explain performance on their own. Add a short interpretation when a stage changes materially: for example, strong inquiry volume with limited tour completion may point to confirmation, access, condition, or scheduling friction rather than a lead-generation problem.
- New inquiry volume and the sources contributing those prospects
- Movement through response, intake, showing, and application stages
- Scheduled, completed, cancelled, and missed showing activity
- Prospect feedback or recurring questions that affect conversion
- Open exceptions and the next action assigned to the team
Add market context without overstating certainty
A market section can place the listed rent beside a local rent distribution and a selected comparison radius. It should support a pricing conversation, not be presented as an appraisal or a guarantee of achievable rent. Data coverage, property differences, concessions, condition, and seasonality can all affect the comparison.
The AIgentProp owner-report workflow allows market analysis to be included or excluded and lets the team review the figures before export. If comparable data is weak, say so rather than filling the space with an unsupported conclusion.
End with a small number of actions
Conclude with the two or three decisions that matter most for the next period: keep or adjust price, improve listing information, expand showing availability, resolve an access issue, or change a follow-up rule. Assign an owner and review date for each action, then export the owner-ready PDF as a record of the recommendation.
