1. Scope and relationship
This notice applies when a property owner, authorized representative, investor, builder, or other authorized user creates or uses an AIgentProp Owner Portal account. It supplements the Terms of Use and Privacy Policy. A signed order, property-management agreement, listing agreement, brokerage agreement, or other service agreement controls if it conflicts with this notice.
Unless a separate signed agreement expressly states otherwise, AIgentProp provides software and workflow support and is not acting as your landlord, property manager, real-estate broker, attorney, tax adviser, appraiser, escrow holder, title provider, inspector, or insurer. Portal access alone does not create an agency, fiduciary, brokerage, property-management, or attorney-client relationship.
2. Owner information and privacy
We may collect and use contact and authentication details, property and ownership or listing-authority information, listing facts, pricing, photos, documents, service selections, communications, account activity, device and security signals, billing records, and limited payment metadata to operate and secure the portal, verify authority, provide requested services, publish or distribute authorized listings, communicate with you, process payments, prevent fraud, provide support, and keep legal and transaction records.
Details submitted for publication—including address, property facts, price, description, photos, showing information, and owner-authorized contact details—may be visible to the public and disclosed to listing sites, MLS-related providers, brokers, agents, prospective renters or buyers, vendors, and other recipients needed for the service you select. Third-party copies, caches, and historical records may remain after you edit, withdraw, or cancel a listing. More information and privacy-request instructions appear in the Privacy Policy.
3. Authority, accuracy, and owner content
- You represent that you are at least 18 and own the property or have documented authority from every required owner to manage, rent, advertise, or sell it.
- You are responsible for complete, current, truthful, and non-misleading property facts, price, availability, condition, measurements, permits, hazards, defects, liens, ownership, photos, disclosures, and instructions.
- You must have all rights and consents needed for submitted photos, documents, trademarks, personal information, and other content, and must not include people or private material without lawful permission.
- You must promptly correct inaccuracies and notify us if your authority ends, the property becomes unavailable, or information becomes misleading.
You grant AIgentProp and the providers needed for your selected service a nonexclusive, worldwide, royalty-free license to host, reproduce, format, display, transmit, syndicate, and otherwise use submitted content to operate, market, support, and document that service. This license continues for a reasonable wind-down, archival, compliance, and dispute period after removal.
4. Rental services and fair housing
Owners remain responsible for the legality and accuracy of rental advertisements, eligibility criteria, licenses, registrations, rent and fee disclosures, security deposits, required property notices, habitability, accommodations, application order, consumer-report authorizations, adverse-action notices, leases, and final housing decisions. Do not use protected characteristics or proxies for them to target, steer, discourage, rank, exclude, price, or decide housing. The Fair Housing Policy and, where applicant information is collected, the Applicant & Prospect Notice apply. AIgentProp does not guarantee a tenant, rent amount, qualification result, occupancy date, or legal compliance.
5. Optional for-sale, flat-fee, and MLS-related services
Any for-sale, owner-directed, flat-fee, broker-supported, or MLS-related service is available only when expressly offered for the property type and location. Before publication, the owner may be required to pass identity and ownership checks, select an available package or local listing channel, provide state- or MLS-specific forms and measurements, and sign a separate agreement with the licensed broker or other provider responsible for the listing. This portal notice is not a listing agreement and does not itself place a property on an MLS.
- MLS rules, geographic coverage, eligibility, required fields, photo limits, showing tools, syndication destinations, listing duration, change timing, and cancellation charges vary and may change.
- A nearby or different MLS, broker, title provider, photographer, measurement professional, closing provider, or other third party may be used only as disclosed for the selected service.
- Broker compensation and cooperating-agent compensation are negotiable and are not set by law, AIgentProp, or an MLS. Any offered or requested compensation must appear in the controlling agreement or lawful transaction documents.
- You remain responsible for seller disclosures, lead-based paint and other property notices, offer decisions, contracts, inspections, title, taxes, recording, closing, safety, access, and obtaining legal or licensed professional advice when needed.
Automated valuations, comparable-property analyses, savings examples, time-to-rent or time-to-sell estimates, and marketing projections are estimates only. They are not appraisals, promises, or guarantees of value, savings, exposure, inquiries, offers, closing, rental, sale, price, or timing.
6. Packages, fees, third parties, and cancellation
The applicable checkout or signed order must identify the price, included services, third-party charges, taxes, payment timing, duration, renewal terms, refund rules, cancellation process, and any charge that may become due later. Optional services are not included unless selected. Payment processing, listing sites, MLS-related services, brokers, communications, photography, measurement, title, escrow, closing, lockbox, showing, and other integrations may be provided by independent third parties under their own terms and privacy policies. Availability and performance are not guaranteed, and AIgentProp is not responsible for an independent third party’s acts except to the extent applicable law provides otherwise.
7. Communications and electronic records
We may send account, verification, security, listing, inquiry, showing, service, billing, and transaction communications by email or telephone using the contact information you provide. SMS one-time passwords and other service messages are governed by the SMS Terms; choosing SMS sign-in does not by itself enroll you in unrelated marketing. Any marketing or third-party lead-sharing consent that law requires must be requested separately and is not a condition of purchasing a service unless clearly disclosed and legally permitted. Keep your contact information current and retain copies of agreements and transaction records.
8. Account security, suspension, and records
Keep verification codes, devices, and account access secure and use only your own authorized account. We may request additional verification or restrict access, publication, or a transaction when reasonably necessary for security, fraud prevention, ownership or authority concerns, nonpayment, legal compliance, provider rules, or suspected misuse. Records may be retained for the customer relationship, listing history, payments, taxes, audits, security, disputes, legal claims, and other periods described in the Privacy Policy or required by law.
9. Questions and required transaction-specific documents
This notice cannot replace property-, state-, MLS-, broker-, or transaction-specific disclosures and agreements. Do not treat a portal screen, template, automated response, or sample form as legal advice. Contact the licensed broker or provider named in the applicable order for brokerage or MLS questions and retain an attorney or other qualified professional for legal, tax, title, disclosure, or closing advice.
